Voucher Feature in SalesPlay POS System

Step-by-step guide

The Voucher Feature in SalesPlay POS App is a newly developed functionality that allows businesses to create, manage, and redeem vouchers directly through the POS system.

A voucher is a prepaid coupon or a ticket with a unique code that can be used to purchase goods or services up to a specific value. It can be in printed or digital form and is often used as a gift or an alternative to cash or card payments.

This feature facilitates the generation of voucher codes which customers can use to make purchases, thereby streamlining the billing process and enhancing customer experience.

 

Advantages of the Voucher Feature

  • Convenient Gifting: Vouchers make it easy to give gifts without needing to choose specific items.
  • Increased Sales: Stores can boost sales by selling vouchers, as recipients often spend more than the voucher's value.
  • Customer Loyalty: Vouchers can encourage repeat visits, fostering customer loyalty.
  • Marketing Tool: Vouchers can attract new customers through promotions and special offers.

 

 

Practical Example 1

A textile shop can create vouchers with unique codes and print them. Customers can purchase these vouchers by paying their respective values and gift them to friends or family. For instance, a textile shop might offer a voucher worth $100. A customer buys this voucher and gives it as a gift. The recipient can then visit the textile shop, select items worth $100, and present the voucher during checkout to redeem its value.

 

 

Practical Example 2

Imagine a retail store launching a promotion where customers receive a $10 voucher card and print the voucher code on it.

When a customer comes to the shop with a voucher card, the cashier can quickly apply the voucher code to the new purchase. If the purchase totals $50, the $10 voucher is redeemed, and the customer pays the remaining $40 using another payment method.

 


How to activate Voucher Feature

• Login to POS Back Office Webportal:
• Select "Settings" from the main menu.
• Navigate to the "Feature" section.
• Turn on the “Vouchers” button at the bottom of the list.
• Click “Save”.
(Once you ON “Vouchers”, it will appear in the ‘Promotions” section under the main menu)

Setup Vouchers:

• Go to the main menu and select the “Promotions” section.
• Click on "Vouchers".
• Select “Import Vouchers”.
• Download the CSV template file.
• Fill in the template with voucher details and save the file.
• Upload the completed CSV by dragging and dropping it or selecting it from your computer.
• Click “Upload” and confirm the import.


How to Process Vouchers in POS App

• Open the POS App and go to the main menu.
• Select “New Sale”.
• Choose the products the customer wishes to buy.
• Click the “Charge” button.
• Select the “Voucher” payment option.
• Enter the voucher code.
• Click the “OK” button to proceed.

If the purchase amount exceeds the voucher value, use the multi-payment option to settle the balance with another payment method.


How to Check Voucher Code’s Status

• Go to the backoffice webportal main menu
• Select the “Promotions” section.
• Click on "Vouchers".
• Click on the SEARCH area right-hand upper section.
• Enter the voucher code and click the enter or search button
• You will see the details and status of the voucher

 

Voucher details include the voucher code, amount, status (available or redeemed), and if redeemed, the date and receipt number.

 


How to Sell Vouchers to Customers

 

Selling vouchers allows businesses to provide prepaid purchase options to customers. Follow these steps to sell a voucher:

  1. Open the POS App and go to the main menu.

  2. Select “New Sale”.

  3. Go to categories and select "Vouchers".

  4. Enter the voucher code or scan the voucher.

  5. Click “Add to Cart”.

  6. Click “Charge”.

  7. Select the payment type and proceed.

Once a voucher is sold, under the Back Office “Promotions” section, “Vouchers” will show the status of the voucher. It will be marked as “Sold” once sold to a customer. Other vouchers will remain as “Available” until sold.


How to View Sold Vouchers to Customers Within POS App

 

Check sold vouchers in the POS app by navigating to the "Promotions" section and viewing their status under "Vouchers."

 

  1. Open the POS App and go to the main menu.

  2. Select “Manage Sales”.

  3. Go to “Past Receipts”.

  4. Select “Vouchers” from the dropdown menu.

  5. You will see all sold vouchers and their transaction details.


Special Notes

• If the purchase amount exceeds the voucher value, use the multi-payment option to settle the balance with another payment method.

• If the purchase amount is less than the voucher value, the cashier can complete the payment, but the remaining balance on the voucher cannot be redeemed again.

• Voucher sales categorized by payment type will be displayed separately in the Shift Report. You can access this report through both the POS App and the Back Office Webportal.
